Sharing & access control

Every share on purpose. Every share reversible.

Choose what each colleague or group can do in a folder: open, add, edit, share or delete. Send clients a view-only link, or a link they can only upload to. Set an expiry date, and take any of it back in a click.

Priya can open it and download or sync it, but can’t add files, edit what’s there, share it with others or delete files.

Access ends in 7 days. Nobody has to remember to remove it.

  1. Start with View only. Switch on more only when the work needs it.

  2. Protect confidential folders. Keep Share and Delete off, so nothing can be re-shared or deleted.

  3. Put a date on temporary access. Set an expiry date for anyone helping on a single job.

Three ways to share

A colleague, a whole team, or a client outside the firm.

  • One person

For anyone with an account on your Baadal. They find it under “Shared with you”. Share a folder and everything added to it later is shared too.

    • From the web or any myBaadal app
    • View only, can edit, or custom
    • Optional expiry date and note
  • A whole team

Share with a group such as Accounts or Site team. New joiners get access the moment they’re added; people who leave the group lose what it gave them.

    • One setting for every member
    • No re-sharing when the team changes
    • From myBaadal on the web
  • A client, by link

For anyone without an account. A link opens view-only, and you can add a password and an expiry date. Need files from a client? Send an upload link: they drop files into one folder and can’t see what’s already there.

    • Optional password and expiry date
    • Download on or off
    • Delete the link to end it

Access control

Five permissions, set per share.

Most shares need one click: View only, or Allow editing, which on a folder also lets them add, delete and share it with others. When a folder is sensitive, open Custom and allow exactly what the job needs.

Taking it back

One person can have three ways in. Close every one.

Access can come from a direct share, a group and a link at the same time, and each works on its own. The folder’s sharing panel lists every person, group and link on it, so you can close every way in, not just the first one you find. A link isn’t tied to a person: whoever has it can use it until you delete it or it expires.

Removing access never deletes the folder or its files. It can’t recall copies someone already downloaded.

People and accounts

Everyone signs in as themselves.

Nobody borrows a colleague’s password, so every share and every change carries a name. Sort people into groups by team, cap anyone’s storage if you need to, and set a new password when someone forgets theirs.

When someone leaves, an admin disables their account in myBaadal on the web. They can’t sign in any more, links they sent stop working, and their files stay on the Baadal. Folders they shared with colleagues stay shared, so the work carries on. The Manage Users screen in the Android and iPhone apps covers the everyday jobs: add a person, set a storage limit or reset a password.

Activity

Every edit, share and delete, written down.

Your Activity list shows what happened to your files and the folders shared with you: files added, edited, shared, deleted or restored, and downloads from links you sent. When a client asks where their documents went, or a file goes missing on a Friday evening, start there. Recently deleted files can be brought back from Deleted files.

Where your shared files live

  • Shared in place, not sent around.

Inside the firm, a share points to the one file on the Baadal in your office. No copies on email, WhatsApp or someone else’s cloud.

  • On hardware you own.

Shared files stay on the Baadal on your premises, and you decide where its backups go.

  • The same rules on every screen.

A view-only share is view-only in the browser, on a phone and in File Explorer or Finder.

Questions

Before you share.

Step-by-step guides with screenshots are in the Baadal Help Centre, in English and Hindi. Something else? Ask us on WhatsApp

Can my staff see everything on the Baadal?

No. Apart from their own files, a person only sees a folder once it’s shared with them, or with a group they’re in. That’s the same on the phone apps, the computer apps and the browser.

If I remove someone from a group, do they lose access?

They lose what the group gave them. If you also shared the folder with them directly, or sent them a link, those still work until you remove them too. The folder’s sharing panel lists every person, group and link on it.

Does sharing make copies or use up space?

No. A share is access to the original, so there is one file, one latest version, and no extra storage used.

Can a client send us files without an account?

Yes. Send them an upload link to one folder. Add a password and an expiry date if you like.

What happens when someone leaves the firm?

Disable their account in myBaadal on the web the day they go. Sign-in stops, links they sent stop working, and nothing they saved is lost. Folders they shared with colleagues stay shared until you change them.

Does removing access delete the file?

No. Unsharing, removing someone from a group or deleting a link only ends that access. The file or folder stays exactly where it was.
